Operations Support Administrator – Oban

Bidfood Oban supply fresh chilled and frozen food all across the West coast of Scotland. From the distribution areas of Mallaig to Ardrossan, from the islands of Tiree, Islay and Mull, no two days are ever the same. An opportunity has arisen for someone to join our operations team who will learn a great insight into a fast moving food service supplies distribution.

This role is to support the depot across all areas of distribution and service excellence. From telesales and customer order capture to invoice and delivery, you will play a key role in ensuring our customer receives the best service possible.

As part of the Operations support team your role will be varied and will cover the following key areas:

  • Organise call schedules within Telesales to ensure that all calls are met both incoming & outgoing to ensure no lost calls or impact to customer service.
  • Organise, post & accrue purchase orders within Admin Department to ensure non-food suppliers are paid accurately, on time and that petty cash is reconciled each month.
  • Input data to credit tracker within Admin to identify reasons / trends of credit processing to improve service to our customers.
  • Print, check physical inventory (PI’s) and key, within PI Checking to ensure that warehouse stock levels are accurate, minimise stock loss and improve availability.
  • Write up, record data, investigate anomalies for goods in department ensuring that correct levels of stock, within date minimising stock loss and ensure food safety compliance.
  • Debrief drivers upon return to depot ensuring that any product returns are correctly allocated, journey tickets, defects, DD1 compliance to ensure that we are compliant in food safety legal compliance,
  • Print, run and allocate picking notes and invoices within both early backshift and Admin department as required ensuring timely despatch for our vehicles.
  • Assist Warehouse Supervisor in areas of compliance (such as but not exhaustive) Fire Checks, Meat checks, Glass Audits, Contractor permits, cleaning schedules.

This role will be varied and evolve with time. To be successful in this role, you will be self-motivated, organised with an excellent attention to detail. Flexibility and strong team working skills are a requirement to be successful in this role. This is a diverse and challenging role and extensive training will be provided.
